Terms and Conditions of Hire


Rotherwick Village Hall is a Non-Smoking Venue

The licence for the Hall states that the maximum number of persons present at any one time shall not exceed in total 200 (including all helpers, musicians etc.).

The Village Hall may be hired during the following hours:

Monday to Thursday, and Saturday     -    8:00am  - 12 midnight.  Premises to be empty by midnight.

Friday    -   8:00am  - 1:00am.  Premises to be empty by midnight.

Sunday    -    8:00am - 11:00pm.  Premises to be empty by 11:00pm.

In the event of having to cancel your booking, please note that 30 days notice is required. If less than 30 days notice is given, then a charge of 30% of the price of the booking, or £75.00 for bookings of the main hall over 4 hours,  will be made.

You will be responsible for any loss or damage to the Hall, its contents and floor, and you will be required to pay for any such damage, loss or extra work required to restore to good condition.

Any complaints relating to the hire of the Village Hall must be notified in writing to the booking secretary within 14 days of the event taking place.

Hirers are requested to leave the Hall clean and tidy; chairs and tables should be stacked against the walls, and kitchen equipment must be thoroughly cleaned and replaced in the cupboards provided.

If outside labour is employed in the kitchen, the Caretaker will hand over the equipment required which must be returned to the Caretaker in clean condition; all breakages or damage must be reported.

Please do not use sellotape or blue tack on the walls or doors.

Dogs are not allowed in the Hall.

The Committee accept no responsibility for the loss or damage to any property brought into the Hall or grounds. The Committee accept no responsibility for personal injury sustained in the Hall or grounds.

The Committee or any member of the Committee on duty shall have the right to refuse admission to any person whom they consider undesirable and shall not be bound to give a reason for so doing.

The Caretaker has instructions to close the Hall 30 minutes after the end of the booking time. It is the responsibility of the Hirer to ensure that all persons, including helpers, musicians, bar staff, etc. vacate the Hall by that time.

Rotherwick Village Hall now has a Designated Premises Supervisor.  Any bookings that will be selling alcohol must  contact  Colin Harry  to organise their bar.  All tickets must be sold before the event. Tickets must not be sold on the door.

The bar must close half an hour before the end of the function.

Organizers are asked to remind persons delivering beer barrels on their behalf, not to roll the barrels over the steps at the front of the building, as this causes chipping of the stonework, which in turn creates a hazard for people entering the Hall.

You are asked not to allow any noise to cause annoyance to the residents in the locality.

Please note that the Hall must close at 12 Midnight on Saturdays.
